The Bots list: types, statuses and row actions

What each column on the Bots list means, the four AI Agent statuses, and what you can do from a row without opening the agent.

The Bots list is where you see every AI Agent on your account at once: what state each one is in, what it posts under, and what you can do to it without opening it.

Finding it

Go to Messaging, then Inbox Settings, then Bots.

What each column tells you

Column

What it shows

Name

The agent's name, as set on its General tab. This is the name guests see when it replies.

Operator

The operator record the agent posts under. If Update operator name when activating the agent is ticked on the General tab, this is renamed to match the agent's name the next time you activate it.

Type

BB Bot for an AI Agent. Webhook for a webhook bot, which is a different kind of bot that this collection does not cover.

Created

The date the agent was created.

Status

Whether the agent is live, and whether it has changes guests are not seeing yet.

Names are not unique. Two agents can carry the same name and the same operator name, and the list gives you nothing else to tell them apart. If you run several similar agents, name them so you can tell them apart.

Long lists are paginated, with the page controls under the table.

What the four statuses mean

Status

What it means

What to do about it

Active

Live, and everything you have configured has been published.

Nothing. This is the settled state.

Active with draft updates

Live, but you have made changes that guests are not seeing yet.

Open the agent and click Activate to publish them.

Inactive

Not live. It is not answering guests. Either it has never been activated, or someone has deactivated it.

Activate it from the ⋮ menu when you are ready for it to start.

Inactive with draft updates

Not live, and it has unpublished changes as well. Usually an agent that was set up and never taken live.

Finish it, then activate it.

The two "with draft updates" states are the ones worth watching. They mean the version you last edited is not the version guests are talking to.

What you can do from a row

Click a row to open that agent's configuration.

The ⋮ menu at the end of a row holds three actions:

  • Edit. Opens the agent's configuration, the same as clicking the row.

  • Activate, or Deactivate. This item changes with the agent's state. An agent that is not live offers Activate, which publishes it from the list without opening it first. An agent that is live offers Deactivate, which takes it out of service so it stops answering guests.

Activating from here does the same job as the Activate button inside the agent, which means the checks in Activating an AI Agent still apply. It is quick, and it skips the screen that would have reminded you of them.

Deactivating is not destructive. The agent keeps its name, tone, knowledge and assignment rule, and the same menu brings it back. See Deleting or retiring an AI Agent.

  • Duplicate. Makes an independent copy of the agent, with the same tone, knowledge and settings. The copy has no ongoing link to the original.

There is no delete. Nothing on this screen or inside an agent removes one.

Creating an agent from here

The New BB Bot button, at the top right, creates a new AI Agent and takes you to its menu.

The arrow beside that button opens one further option, Webhook, which creates a webhook bot rather than an AI Agent. If you open it by accident, close it: webhook bots are a separate feature with their own setup, and nothing in this collection applies to them.

Need Help?

Please contact us through the 'Talk to Us' option on the left menu in the platform, or through the Bookboost Support email at [email protected] if you have questions or need additional support.

The fastest thing to include if an agent is behaving unexpectedly is its name and its status as shown on this list, because that tells support immediately whether they are looking at a live agent or a draft.
